Adding someone else to your shop

At some point you stop packing everything yourself. Someone else starts printing labels, or your sister handles orders on the days you cannot. They need their own way in, and the answer is not your password.

You can add them as staff. They get their own login, they can do the work, and they cannot see your money.

Where it is

Open Settings, then Account, and scroll to Team. Only the shop owner can open that page, which is the point: inviting people is not something a staff member can do.

What a staff member can and cannot do

This is the part to read before you invite anyone, because it decides whether staff is the right answer for the person you have in mind.

They can view orders, work them, fulfil them, print labels, and update stock. That is the daily running of the shop and it is most of the job.

They cannot see payouts, bank details or billing. They also cannot add or edit products, set up discounts, change your storefront design, or touch your shop settings. Those are the owner's, and a staff member who tries to open one of those screens is simply sent back to where they came from.

So staff is right for someone helping you with orders and stock. It is not a way to hand over the shop, and it is not a second owner account. There is no partial version in between either: the list above is the whole of it, the same for everyone you add.

Inviting someone

Type their email address and press Send invitation.

Use the address they actually read. The invitation goes to that address and they accept it there, so a typo is a quiet failure: nothing arrives, nobody is told, and you are left waiting for someone who never got the message.

They then appear in Members with a status. Invite pending means it has been sent and not yet accepted. Active means they are in and can work. While an invitation is still pending there is a Resend button on their row, which is usually faster than asking them to search their inbox again. It disappears once they are Active, because there is nothing left to resend.

Seats

Above the invite field is a line saying how many staff seats you have used out of how many you have.

The number is set on your shop by us, not earned and not bought. If you need more than you have, the line that appears when they are full has a link to message us, and that is the right way to ask.

When every seat is in use the email field and the button both go grey, and you are told so before you type rather than after you press send. Removing someone frees their seat immediately.

Removing someone

Press Remove on their row. You will be asked to confirm, and the dialog tells you plainly what happens: they lose access immediately, and you can invite them again later.

Both halves of that are worth knowing. Immediately means immediately, so this is the thing to do on the day someone leaves rather than the week after. And re-inviting is a normal thing to do, so removing a seasonal helper at the end of a busy month costs you nothing in December.

Their work stays. Orders they fulfilled and stock they updated are part of the shop's record, not theirs, and removing them does not take any of it away.

One habit worth keeping

Look at the Members list every few months and remove anyone who has stopped helping. Old access nobody is using is the kind of thing that is obvious the day it matters and invisible every other day. It takes a minute, and it frees a seat.
